For one of our clients, a financial institution located in Luxembourg city, SOFITEX TALENT is currently looking for an


Your tasks:

- Dealing with incoming and outgoing post
- Operating the switchboard
- Maintaining the "Admin Inbox" and dealing with any administrative requests from the property and asset manager in Hamburg including the filing of relevant documents
- Obtaining signatures for rental contracts and filing thereof
- Entering of master data in IMS
- Filing of supplier and tenant guarantees
- Assisting with Company Secretarial tasks such as drafting of board minutes, shareholder resolutions or PoAs, obtaining signatures from directors and filing of the relevant documents
- Liaising with lawyers and notaries regarding legalisation of documents
- Preparation of KYC documentation
- Organising of meetings, travel arrangements and team events
- Acting as CSR (Corporate social responsibly) responsible for the Luxembourg office in close co-operation with London HQ
- Arranging and supervising the annual archiving process
- Supervising the cleaning company and other suppliers of the Luxembourg office and ordering of sundries and stationary
- Opening and closing of bank accounts and acting as contact person for our house banks
- Liaising with the landlord with regards to any office related issues or queries
- Supervising the annual archiving process
- Assisting with HR related administrative tasks such as the ordering and distribution of lunch vouchers
- Preparation of VISA expense claims
- Participation in ad hoc projects especially in relation to acquisitions or disposals or group initiatives

Profil recherché

- Previous similar experience
- Fluent German and English
- Fluent English
- Very good communication skills both orally and in writing;
- Excellent MS Word skills
- Proactive attitude and ability to manage yourself
- Ability to get things done, accurately, on time, first time
- High attention to detail
- Good team player
